· Click on "Calendar" section in the Folder List in Outlook.
· Select the date and time on which you want to book the meeting and double-click on it.
· Type the subject of the meeting.
· As a meeting usually involves more than person, it's useful to work in the scheduling part of the calendar interface. When you click on "Scheduling" tab, you will be taken to an overview of the calendars of all participants of the meeting.
· Add a name / names in the fileld "Click here to add a name" (screenshot 1). After you type the surname, click "Check names" (screenshot 2). The full name should be completed automatically.
· If there are more results for the surename, the address book interface will appear and you can choose the correct name.

· In the second column of the table you can define if the invitee is "Required" or "Optional". (When you move the mouse over there, you will see a pop-up).
· Click on the field and select the desired option.
· Under the invited people fill in the name of the meeting room instead of the colleague's name. (It works the same like with the names - you can click on "Check name" to get a list of meeting rooms).
Click on the small red arrow and select "Resource (Room or Equipment)".
· Go back to Appointment tab (screenshot 1) and send the invitation (screenshot 2).
